How to enter pay rate increases when HRP syncs to Payroll NOW in Full Lifecycle for BC – PEPM

Overview

When HRP and Payroll NOW are integrated, HRP is the system of record for employee compensation. Pay rate changes entered in HRP flow to Payroll NOW through the Middleware Polling sync process, so you typically should not update the Payroll NOW Salary section directly.

Symptoms

  • You need to update an employee’s hourly rate (pay increase) and are unsure whether to enter it in HRP or in the Payroll NOW employee card (Salary section).

  • After entering a change in one system, you’re concerned payroll will be incorrect or the rate may not update in time for payroll processing.

Cause

In an integrated setup, compensation is maintained in HRP and sent to Payroll NOW via the Middleware Polling job. If you update pay rates in Payroll NOW instead of HRP, the next sync can overwrite those changes because HRP compensation is the source data.

Resolution

  • 1. In HRP, open the employee record and add/update the employee’s pay rate in the Compensation section, using the appropriate Effective Date for the change.

  • 2. Save the change in HRP.

  • 3. Allow time for the Middleware Polling sync to run so the updated compensation is pushed to Payroll NOW.

  • 4. In Payroll NOW, verify the employee’s rate updated on the employee card after the sync completes.

  • 5. Optional (bulk updates): To update multiple employees at once, use HRP’s Data Import tool:

  • 5.1  Confirm the exact import path and template for your HRP version, or contact Support.

  • 5.2  Populate the required fields, including effective dates, and run the import.

  • 5.3  After the import, confirm changes in HRP and then verify they sync to Payroll NOW via Middleware Polling.

Additional Information

  • Best practice in an integrated environment: maintain pay rates in HRP and use Payroll NOW as the downstream payroll processor.

  • If payroll must be submitted immediately and the change is not appearing in Payroll NOW, verify the HRP effective date and confirm Middleware Polling has run (or contact your system administrator/Support to confirm sync status).
