How to fix Position Description not updating in Payroll NOW

Overview

This article explains why the Position Description field on the Payroll Employees list in Payroll NOW may continue to show an employee’s old title and how to correct it. The issue is typically caused by a rejected position update from the HR system due to a missing Workers’ Compensation Code in Payroll NOW.

Symptoms

  • The Position Description on the Payroll Employees list shows an employee’s prior title instead of the current title from HR.

  • The HR portal shows the correct, updated position/title for the employee.

  • No error message is displayed to the payroll user in Payroll NOW when the Position Description fails to update.

  • Removing and re-adding the position in HR does not change the Position Description in Payroll NOW.

Cause

The employee’s position in the HR system is associated with a Workers’ Compensation Code that does not exist in the Workers’ Compensation Codes list in Payroll NOW. When HR sends the updated position to Payroll NOW, the position sync is rejected because the Workers’ Compensation Code cannot be validated. Since the update is rejected, the position record does not finish saving and the Position Description on the Payroll Employees list continues to display the old title.

Resolution

  • 1. In Payroll NOW, use the Search (magnifying glass / Tell Me) icon, type Workers, and open Workers Comp. Code Setup.

  • 2. Review the existing Workers Comp. Codes and check whether the code used on the employee’s position in HR already exists here.

  • 3. If it is missing, choose New and enter the Workers Comp. Code, State, Starting Date, and rate to match the HR system.

  • 4. Complete any other required fields for the code.

  • 5. There is no Save button — move off the row (or close the page) and Business Central saves the record automatically.

  • 6. If the Workers Comp. Code already exists but is incorrect, update the existing record so it matches the code used by HR (it saves automatically when you step off the row).

  • 7. In the HR portal, open the employee’s position record that contains the current title.

  • 8. Confirm the position is associated with the intended Workers Comp. Code.

  • 9. Re-save the position record in HR (edit and save, or trigger a resend) so it sends the updated position to Payroll NOW again.

  • 10. Return to Payroll NOW and open Payroll Employees (Full Payroll Menu > Payroll Processing > Payroll Employees).

  • 11. Locate the employee and verify the Position Description now shows the correct, current title.

Additional Information

  • Ensure that all Workers’ Compensation Codes used in HR are created and maintained in Payroll NOW to prevent future sync rejections.

  • If Position Descriptions are not updating for multiple employees, review recent changes to Workers’ Compensation Codes or position configuration in HR.
