This window is a tool for the user to validate and fix company and employee data formatting required for data to flow to the HRP HR system. This document explains the functionality of the window as well as lists the data validations that the window checks.

Data Validations

• Employee Data
  • Missing Primary Pay Record
    • The Employee does not have a Pay Code assigned as their Primary Pay Code. This is the Pay Code that will be assigned in HRP.
  • Inactive Primary Pay Record
    • The Employee’s Primary Pay Code is Inactive
  • Invalid 2-letter State
    • The Employee’s State Address is not in the Proper Capitalized 2-letter Abbreviation format.
    • The Employee’s Emergency Contact State Address is not in the Proper Capitalized 2-letter Abbreviation format.
  • Missing Email
    • The Employee does not have Email Address.
  • Invalid Email Address
    • The Employee’s Email Address is not valid.
  • Invalid Name
    • The Employee’s Emergency Contact does not have a Last name. Needs to be in the format of “FirstName LastName.”
  • Invalid Social Security
    • The Employee’s SSN is invalid.
  • Inactive Accounts
    • The Employee has Inactive Direct Deposit Account(s.)
  • Invalid Account Status: Prenote
    • The Employee has a Direct Deposit Account set to the Prenote Status
  • Last Account Must be 100%
    • The Employee’s last Direct Deposit account should be the Net Remainder account and should be set to 100%.
  • Invalid Direct Deposit Routing Number
    • The Employee has a Direct Deposit Account Bank Number that is not in the 9-digit number standard.
  • Inactive Supervisor
    • The Employee has a Supervisor Assigned to them that is Inactive.
  • Company Data
    • Invalid Email Address
      • The Company’s Address ID has an Invalid Email Address.
    • Invalid 2-letter State
      • The Company’s State Address is not in the Proper Capitalized 2-letter Abbreviation format.

Data Auto-Fixes

• Company Address State
  • If the correct spelling of a US state is in the Address Field or if there is a 2-letter state abbreviation not in the correct capitalized format; This Auto-Fix will Change it to the Correct Format for HRP Cutover.
• Primary Pay Code
  • For Employees that do not have a Primary Pay Code assigned to them, this Auto-Fix will assign the Active Pay Code with the greatest dollar amount paid within the last 2 years as the Primary Pay Code.
• Employee Address State
  • If the correct spelling of a US state is in the Address Field or if there is a 2-letter state abbreviation not in the correct capitalized format; This Auto-Fix will Change it to the Correct Format for HRP Cutover.
• Employee Contact Address State
  • If the correct spelling of a US state is in the Address Field or if there is a 2-letter state abbreviation not in the correct capitalized format; This Auto-Fix will Change it to the Correct Format for HRP Cutover.
• Direct Deposit
  • This will remove all Inactive Direct Deposit Accounts from the Employees’ records as well as move the designated Net Remainder Account to the Last Position and set it to 100% if there isn’t already an account in the last position set to 100%.
