Q: Why do I need to wire funds if ACH is set up?
A: With ACH set up we do draft the funds; however, these funds are not secured for up to 72 hours (about 3 days). In the event of the tax due date falling on or before that 72-hour period, based on your check date, wiring these funds will help to alleviate potential tax penalties. (Wire fees do apply per our Exception Fee page on the web)
Q: What is the difference between ACH and Draw Down Reverse Wire (DDRW) funding?
A: With ACH set up, we do draft the funds; however, these funds are not secured for up to 72 hours (about 3 days). When payroll taxes exceed $100,000, these taxes are due the next business day from the date of the checks being issued to employees. DDRW will allow us to request a wire of funds to ensure timely payment is made. This option also alleviates the tasking burden of initiating a wire each time this may occur and helps avoid potential tax penalties.
Q: I am not sure we can process payroll 2 banking days prior to check date. What happens if we submit payroll late?
A: We understand that this can happen. If the time-frame window is missed, there is a chance of a tax penalty, but our services will continue to operate. It is best to communicate directly if the deadline is missed to discuss funding alternatives if needed.
Q: What do I need to do if I get a tax penalty notification?
A: If you receive a tax penalty notification, you will email any/all information with attachment(s) to, support@integrity-data.com so a support ticket will be opened and assigned for review.
Q: What is the process if we need to issue a final check or adjustment check that would often be same day processing and there would be no way to have the data uploaded 2 days before the date of the payroll checks?
A: We understand there is a termination pay clause in some states that require final pay within 24 hours and those situations do occur. Release the tax data as usual. These types of adjustments don’t normally cause penalties when minimal.
Q: What happens if the quarter ends on the weekend? Is it acceptable to submit Quarter End data before the last day of the quarter?
A: Yes, in that scenario submission of the QE file is acceptable after your last paycheck of the quarter, if you have no additional payroll checks dated in that same quarter to process.
Q: How are year-end reports, 940 and W2’s handled?
A: Integrity Data handles the year end filings, W2s and 940, at year end for you. The distribution of W2’s to employees and electronically submitting them to the IRS is not included in the monthly subscription price. Additional fees apply based on the number of W2s to be filed.
Q: Why is my total payroll tax liability impounding each payroll when some of the taxes are not due until the end of the quarter?
A: We capture, report, and impound per pay period to ensure that all payments to all taxing jurisdictions are paid on time. Our tax services are aimed to take the burden off your team.
Q: Why are the following entities not supported?
Hawaii Sick Disability Insurance
New York Family Leave
New York Sick Disability Insurance
A: These items are not reported to the state. Each of them depends on the coverage/carrier you have chosen for your coverage and how/when they would like you to report information to them. Due to the variances in carriers, it is not supported by Integrity Data.
