How to troubleshoot $0 federal withholding after a W-4 update in Full Lifecycle for BC – PEPM

Overview

If an employee updates their W-4 in the Integrity HR portal and then sees $0 federal income tax withheld, it may still be a correct calculation. This article explains where W-4 elections, Step 3 dependent/qualifying-children amounts, etc,  are stored in Payroll Now for BC and how to validate whether $0 withholding is expected.

Symptoms

  • An employee updates their W-4 (for example, Married with dependents) in the HR portal.

  • Subsequent paychecks show $0 federal income tax withheld.

  • On the Federal WH (Withholding) Setup Card, the dependent-related fields may appear as 0.

  • On Withholding Certificate Setup, the W-4 Step 3 dependent/qualifying-children amounts appear (or appear to be the only place they are stored).

  • No error messages are shown.

Cause

This is typically not a software defect. Federal withholding can legitimately calculate to $0 when the employee’s W-4 elections (for example, filing status plus W-4 Step 3 dependent/qualifying-children credits) offset the tax that would otherwise be withheld at the employee’s current gross wage level. Also, W-4 Step 3 values are expected to reside on the Withholding Certificate Setup record (not on the main employee card), so seeing those amounts there is normal system behavior.

Resolution

  • 1. In Business Central, open the employee’s federal withholding setup: Full Payroll Menu > Payroll Employees > Setup > Select Employee > Home (if fed with is not present) > Federal Withholding Setup.

  • 2. Open the employee’s Federal WH (Withholding) Setup Card and locate/select the W4 to review the filing status and general W-4 selections.

  • 3. From the “Edit Withholding Setup”, click to open the Withholding Certificate Setup and confirm that the W-4 Step 3 dependent/qualifying-children amounts are present there. (This is the expected location by design.)

  • 4. If federal withholding is still $0 and you need to validate whether that is correct for the employee’s situation, have the employee use the IRS Tax Withholding Estimator to review their W-4 selections and expected withholding Tax Withholding Estimator | Internal Revenue Service

  • 5. If the employee believes withholding should be taken at their current settings, advise them to consult a tax advisor and then update their W-4 elections accordingly (for example, adjust Step 3 amounts or other W-4 entries based on their advisor’s guidance).

  • 6. If the employee confirms their W-4 settings are correct and $0 withholding still appears unexpected, collect the paycheck details (pay frequency and taxable gross details) and contact support to review the calculation.

  • W-4 Step 3 dependent/qualifying-children amounts are stored on the Withholding Certificate Setup and may not display on the main employee card fields you expect—this alone does not indicate a setup issue.
